Privacy Policy

This policy covers the FlexHealth website at flexhealthtrack.co.za - the page you are on now and the early access sign-up form on it - and how the FlexHealth app handles your health data once you have an account. It is written to be read, not to be survived.

Who we are

FlexHealth is a product of OrganiCode, a software company based in Vereeniging, South Africa. For the purposes of the Protection of Personal Information Act (POPIA), OrganiCode is the responsible party for the information described here.

What this site collects

If you fill in the early access form, we store exactly what you typed into it:

  • Your full name
  • Your email address
  • Your phone number, only if you chose to give one - it is optional
  • The date and time you signed up

That is the complete list of what the form collects. If you only read the site, the most we ever hold about you is an anonymous page count - see the next section.

What we do with it

We use it for one purpose: to contact you about FlexHealth early access. That is it. We do not sell it, rent it, trade it, or share it with third parties for their own use.

Cookies and analytics

This site runs no advertising trackers and no third-party analytics. What it does run is our own first-party measurement, in two tiers, and the second tier only exists if you say yes:

  • Anonymous totals (no cookie, no consent needed). We count things like "the home page was viewed 40 times today" and "12 of those arrived from LinkedIn". These are daily tallies with no visitor identity attached: no cookie, no IP address, and nothing that could identify you.
  • A single first-party cookie, only if you choose Accept. The privacy bar at the bottom of the page asks first. Only if you accept do we set one cookie (fh_vid, a random id) so we can see that the same visitor came back and which link brought them here. Decline and the cookie is never set; the bar remembers your choice either way.

Raw per-visitor records are deleted automatically after 180 days; the anonymous daily totals are kept. No IP addresses are stored in either tier. To change your mind later, clear this site's cookies and the bar will ask again.

The sign-up form also sets a security token cookie, which exists to stop other websites from submitting the form on your behalf. It is required for the form to work and carries no information about you.

The site loads fonts from Google Fonts and an icon stylesheet from jsDelivr. Requesting those files tells those services your IP address, as loading any file from any server does.

Where it is kept, and for how long

Sign-up details are stored in a database on the server that runs this website. We keep them until FlexHealth early access ends or until you ask us to delete them, whichever comes first.

Health data is different. If you are in on-device only mode we hold none of it, so there is nothing for us to keep or delete. If you turned backup on, what was uploaded is stored on the FlexHealth server and kept until you delete it in the app or ask us to remove it. Ask us where that server is and we will tell you.

Records the AI has already analysed have been sent to your chosen provider and are subject to that provider's retention, not ours. We cannot reach into their systems on your behalf, though you can - through your own account with them.

Your rights under POPIA

You are entitled to:

  • Ask what personal information we hold about you
  • Ask us to correct anything that is wrong
  • Ask us to delete it, including any health data you backed up
  • Withdraw your consent and be taken off the list
  • Switch backup off at any time, in the app, without asking us
  • Complain to the Information Regulator of South Africa

Health information

This website does not collect any health data. The sign-up form asks for your name and contact details and nothing else. If all you ever do is read this site and join the list, none of what follows applies to you.

Health information - blood test results, workouts, meals, measurements, journal entries - is only ever entered inside the FlexHealth application itself, after you have an account. The rest of this section describes what happens to it there, so you know before you sign up rather than after.

In the app: you choose where your data lives

The FlexHealth mobile app records everything to a database on your own phone first. What happens next is your decision, and there are two modes.

On-device only. This is the default. A fresh install uploads nothing. Your blood tests, workouts, meals, measurements and journal entries are written to your phone and stay there. We cannot see them, because we never receive them.

The trade-off is real and we would rather say it than let you discover it: if you lose your phone, or wipe it, or the app is uninstalled, that data is gone. There is no copy anywhere for us to restore from.

Backed up to FlexHealth. If you turn this on, the records you make are also uploaded to the FlexHealth server. You can then sign in on another device and find your history, and losing your phone does not lose your data.

Backup is opt-in. It is off until you switch it on, and you can switch it off again at any time in the app under Profile → Your data. Switching it off stops any further uploads; ask us and we will delete what was already uploaded.

The web version is different. flexhealthtrack.co.za runs on our server by definition, so anything you enter there is on the server the moment you save it. There is no on-device option for the web app, and we would rather say that plainly than let the choice above imply otherwise.

In the app: AI analysis always leaves your device

This is the most important thing on this page, so it gets its own heading rather than a footnote.

The backup setting above controls backup. It does not cover AI analysis, and cannot.

FlexHealth's AI analysis runs in the cloud, not on your phone. When you ask it to analyse something, the records being analysed are sent to the FlexHealth server and on to the AI provider you configured - Google Gemini, ChatGPT or GitHub Copilot - using your own API key. This happens even when backup is switched off.

Three things follow from that, and all three are deliberate:

  • Nothing is analysed unless you ask. There is no background analysis, no automatic scanning. You press the button or it does not happen.
  • You are told who receives it, every time. Every screen that can run an analysis names the provider and model that will receive your data, before you run it.
  • The provider is yours, not ours. You bring your own API key, so your data goes to your account with that provider, under their terms - not pooled through ours. Their handling of it is governed by their privacy policy, which is worth reading. Note that free API tiers commonly permit the provider to use submitted content to improve their products; a paid tier usually does not.

We are working on running the model directly on your device, so that ordinary analysis never leaves your phone at all and only a deliberate "deep dive" reaches an external provider. That does not exist yet, and we will not describe it here as though it does.

Changes to this policy

If this policy changes we will update the date at the top. FlexHealth is early software and this page will grow as the product does.
